Advance Manager

The event-wide view for reviewing all advance responses rolled up by module

The Advance Manager is the event-level view for making sense of all your advance data in aggregate. Rather than viewing one collaborator's advance at a time, Advance Manager organizes everything by module — showing all responses for a given module type together, across every collaborator that received it.

How It Works

Advance Manager is accessible from the event sidebar navigation as a top-level item. It does not live nested under another section.

The view is organized by module. If a "Catering" module was included in advances assigned to 30 different collaborators, Advance Manager shows a single Catering row. Opening that row surfaces all 30 collaborators' catering responses in one place, displayed as a table. The same is true for every other module type used in your advances — a "Golf Carts" module shows all golf cart requests, a "Production Info" module shows all production info responses.

This makes it practical to review large volumes of responses without clicking through individual collaborators, and to spot gaps — modules that haven't been filled out yet across a section of your collaborator list.

Reviewing from Advance Manager

Advance Manager is one of the two main places where the production team can take review actions on advance responses. Reviewers can work through module tables directly here, which is more efficient when reviewing the same module across many collaborators.

Exporting Advance Data

Advance Manager supports PDF exports per module. Each export produces a single PDF showing all collaborator responses for that module in table format.

Exports are done one module at a time — there is no option to export all modules at once from Advance Manager.

If you need a complete export for a single collaborator, the collaborator day sheet export covers all of that collaborator's advance data. If you need advance data tied to a specific area, that export is available from the area directly.

Custom branded reports with layout control are in development as part of a dynamic docs feature. This will allow teams to build their own formatted PDF outputs with access to advance information, including branding and custom presentation.

When to Use Advance Manager vs. the Collaborator Page

Both surfaces provide access to advance responses, but they serve different purposes.

Use Advance Manager when you want to review a specific module type across the whole event — comparing all catering responses, reviewing all equipment requests, or exporting a module roll-up for a department.

Use the collaborator's advance page when you're working with a specific collaborator — reviewing their individual responses, updating module settings, or doing collaborator-specific review work.
