How BackOps organizes your event files automatically, and how to collect documents from collaborators.

When you open the Files section of a new event, you won't find an empty drive. BackOps automatically generates a folder structure based on the collaborators and areas you've already set up.

Auto-Generated Folder Structure

BackOps creates three types of folders for every event:

  • One folder per collaborator — for anything specific to that group: contracts, quotes, agreements, vendor-specific documentation
  • One folder per area — for location-specific materials: floor plans, technical drawings, area-specific specs
  • One folder for the overall event — for general documentation that applies across the whole event or that you want available to everyone

The structure reflects the work you've already done. If you've set up your collaborators and areas, the file system is ready to use without any additional configuration.

Organizing Your Files

Drop files where they make the most logical sense:

  • Event folder — general production documents, master schedules, shared reference materials
  • Collaborator folders — vendor quotes, contracts, correspondence, anything that belongs to a specific group
  • Area folders — floor plans, technical riders, documents that pertain to a specific space

There's no strict rule about what goes where — organize in a way that makes it easy for you and your team to find things quickly.

File Requests

If you need to collect a file from a collaborator — a signed contract, a technical rider, a logo package — you don't have to chase it through email.

Open the collaborator's folder

Navigate to the Files section and open the folder for the collaborator you need a document from.

Create a file request

Click New in the top right corner and select File Request. Give the request a name and any relevant instructions.

Send it

The collaborator is notified and can upload the file directly to BackOps. The request tracks whether the file has been received, so you're not left wondering if the email got lost.
